Why UTA Experience Matters More Than You Think in a Migration

Ultimate Time and Attendance (UTA) environments are rarely simple. Years of customizations, integrations, and configuration changes make each one unique.

Some UTA systems are highly customized. Others connect to payroll, scheduling, or third-party systems your team added over time. Many also support complex labor rules and union agreements that have evolved through the years.

This complexity doesn’t go away during migration. You have to understand it, map it, and manage it carefully to avoid bringing old problems into the new system.

That’s why having UTA experience is one of the most important things to look for when choosing a partner to help you move to UKG Pro WFM.

What Makes UTA Migrations Complex

UTA and UKG Pro WFM are designed in very different ways. There’s no simple way to transfer one configuration to the other. As a result, you need to review and carefully rebuild every pay rule, accrual calculation, scheduling setup, and custom integration in the new system.

UTA environments that have been around for years often include outdated rules and workarounds you no longer need. Knowing what’s still important, what can be improved, and what to leave behind is a big reason why UTA expertise matters.

Without that understanding, there’s a lot of guesswork involved.

What actually goes wrong when your implementation partner doesn’t know uTA

Pay rules get misconfigured. UTA environments commonly contain pay rules your team customized over the years to reflect union agreements, shift differentials, and overtime policies. If you don’t know how UTA processes those rules, you may recreate them incorrectly. In many cases, errors don’t surface immediately. Instead, they show up weeks after go-live, buried in payroll calculations that are slightly off and hard to trace.

Older integrations and connections can be missed. UTA is often linked to payroll systems, HR platforms, and custom integrations your team has built up over many years. As a result, if these are missed, unexpected problems can come up after go-live.

Old rules sometimes get copied over instead of improved. One of the best parts of a migration is the chance to clean up old configurations. However, if your partner doesn’t know UTA well enough to spot these patterns, they’ll just move your technical debt into the new system.

Testing can take much longer. Without direct access to UTA and a strong understanding of how it handles data, testing turns into a manual, time-consuming task. This puts extra pressure on your team, who are already busy with daily work and preparing for go-live.

What 25+ Years of UTA experience actually looks like

At Covalence Consulting, we’ve spent more than 25 years designing, supporting, and improving UTA environments. Our founder developed and co-owned Workbrain, the main platform behind UTA. This gives our team a level of insight into the system that no other partner can match.

We know which setups can cause payroll problems, which old rules can be made simpler, how systems connect in the background, and how to build your new environment for long-term success.

We also work directly in UTA during migration to gather requirements, check configurations, and handle testing ourselves. This can cut the time your team spends on the project by up to 40%.

We don’t have to figure out UTA as we go because we already know it.

Questions to Ask Before You Choose a Migration Partner

  • How many UTA-to-UKG Pro WFM migrations have you completed?
  • Does your team have hands-on experience inside UTA, or do you rely on the client to provide requirements?
  • How do you handle pay rule translation and testing, and how much of that falls on our team?
  • What does post-go-live support look like, and how do you handle issues that surface after?

A partner with real UTA experience will be able to answer all of these questions clearly and confidently.

Support Deadlines are approaching

Migrations can take time to both plan and execute correctly.  It’s important to note that Cloud UTA support has already ended, and on-premises support ends March 31, 2027.

However, If you wait too long, you might have fewer partners to choose from, tighter deadlines, and more payroll or compliance risks.

The earlier you start planning, the better position you will be in for a smooth transition.
